1. General Information

At Apicbase, we have two types of suppliers: manually created suppliers and integrated suppliers. While manual suppliers and their corresponding ingredients must be created by the user, this is not the case for integrated suppliers. Integrated suppliers can connect with Apicbase directly through various methods (EDI, API, etc.), generating an assortment of ingredients and, in some cases, receiving orders without the need for an email.

The goal of supplier integrations is not only to facilitate the setup of a library by automating the creation of the ingredient assortment but also to create smooth communication between Apicbase and the involved suppliers.

Although supplier integrations can differ in many details, such as the information provided or the setup process, they generally have two main components: (i) the Assortment Integration and (ii) the Ordering Integration.

  • Assortment Integration: Unlike with manual suppliers, articles are created automatically by the integration. The assortment is updated regularly with the latest information from the supplier, ensuring that your ingredients are up to date with the latest prices. The assortment is typically dependent on a customer number, ensuring that only the relevant or agreed-upon articles appear in Apicbase. The information contained in the ingredients (brands, GTIN, allergens, nutritionals, etc.) and the format of packages may vary among suppliers. Please be sure to check the specific article for each supplier, which you will find further down on this page.
    • Note: Apicbase displays all the information it receives from your supplier, and it's not possible to change the content and details of integrated products in Apicbase. Therefore, you cannot edit details like the types of packages, names, quantities, etc. However, empty fields not filled by the integration can be edited. We also offer different strategies to adapt the package format to your needs, such as Switching Integrated Supplier Packages or using Stock Variants.
  • Ordering Integration: From a user perspective, placing an order is the same for both manual and integrated suppliers. However, while manual suppliers rely on email connections, integrated suppliers with an ordering integration will receive orders directly in their internal system.
    • Note: Unlike the assortment component of an integration, not all supplier integrations include an ordering component.

Activating and setting up a supplier integration must be done in coordination with your Customer Success Manager (CSM). Keep in mind that after setting up the integration, you will still need to manually add certain details to your supplier profile, such as Customer Number/ID, address and contact information, minimum order amount, and specific delivery dates and times (if applicable).
