Tracking stock periods across your outlets

HQ Overview shows every outlet in your library on one screen, so you can see which outlets are on track with their stock periods and which need chasing. This article covers reading that screen. Open it from Inventory, then HQ Overview.

You need to be a library user with at least one of the two stock period permissions to open it. Someone who signs in against a single outlet has no HQ Overview in the menu, whatever their role allows. If they open its address anyway, they land on their dashboard without a message.

1. The four tiles

Across the top:

  • Outlets: how many outlets are in the library.
  • On Track: outlets with a period running that is not late.
  • Overdue: outlets whose period is past its expected close date.
  • Not Started: outlets with no stock period at all.

Select On Track, Overdue or Not Started to filter the table to those outlets. The same options sit under the search box as chips, together with All to clear the filter.

The four HQ Overview tiles (Outlets 5, On Track 4, Overdue 1, Not Started 0) with the search box and the All, On Track, Overdue and Not Started filter chips

2. Reading a row

One row per outlet, showing the period that has been open the longest. An outlet with no open period shows its most recent period, which is usually a closed one.

  • Outlet: the outlet name. Select anywhere on the row to open that outlet's stock periods in a new tab.
  • Current period: the period name. A +N more chip appears when the outlet has other open periods.
  • Items counted: how many items the opening and closing counts covered.
  • Status: one badge, explained below.
  • Backlog: chips for work that is still open at the outlet.
  • PoS sync: when POS sales last reached stock.
  • Days open: how long the period has been running. Turns red when the period is late.
  • Expected close: the planned close date, with a tag showing how many days late it is when the date has passed.

Outlet, Status and Days open can be sorted by selecting the column header.

Two HQ Overview rows under the column headers: the first outlet shows a +1 more chip next to its period name and an Open waste chip in the Backlog column, the second shows an Open counts chip and a PoS sync chip reading No tickets processed yet

3. The status badge

An outlet gets one badge, in this order:

  • Closed: the period shown has been closed.
  • Reopened: the period was closed and has been reopened for a correction.
  • Overdue: the period is past its expected close date.
  • On Track: a period is running and is not late.
  • Not Started: the outlet has no period.

An outlet that has closed its last period and not started the next one shows Closed. It has nothing open, which is not the same as being finished with stock periods.

A Reopened period never shows as Overdue, even when it is well past its expected close date. Watch Days open on reopened periods instead.

4. Backlog and POS chips

The Backlog column shows a chip with a count for each kind of work still open at the outlet. Hover a chip for its name. You may see Outstanding orders, Outstanding incoming orders, Open counts, Open waste, Open transfers, Open manual sales and Open preparations. A kind with nothing open has no chip. Outstanding incoming orders only appears for a central kitchen.

The chips count work from the start of the period shown onwards. Work from before that start is not counted. Only a period that is open or reopened gets chips, so an outlet that is Not Started or Closed shows none.

The PoS sync chip states when POS sales last reached stock: Last ticket with a date, or No tickets processed yet. An outlet with no POS connected has no chip.

While a sync is running the chip reads PoS syncing…. Recent sales may not be counted yet, so wait for it to finish before you close a period on that outlet.

What HQ Overview does not do

  • It is available to library users only.
  • It shows one period per outlet. Other open periods are behind the +N more chip.
  • You cannot open, close or reopen a period from here. Select the row to open the outlet.
  • It sends no alerts. An overdue period is only visible when somebody opens the screen.
