Order Delivery Costs

Order delivery cost is important for accurate cost management and financial forecasting. By including these fees, you can ensure that the total cost of received goods is fully accounted for, as Apicbase provides a clearer picture of your procurement expenses. 

Assign Delivery fee to a Supplier

To integrate delivery fees into your ordering process, you need to assign these costs to suppliers. Here’s how you can do it:

Set Up Delivery Costs for a Supplier

Step 1: Access Supplier Settings

  • Go to the Suppliers page and select a supplier
  • Click the ‘More’ button and select ‘Edit Supplier Details’

Step 2: Input Default Delivery Fee

Enter the standard delivery fee associated with this supplier. This fee will be applied to all orders from this supplier by default.


Customize Delivery Fees by Outlet:

For specific outlets, you can set a unique delivery fee that overrides the default rate. This is useful if different locations have varying delivery costs. Here is how you can do it:

  • Go to the Suppliers page and select a supplier.
  • Click the ‘Open’ button and go directly to the Outlet Ordering Details section and enter the delivery fee applicable to the outlet.

Modifying Delivery Costs While Receiving an Order:

When you are receiving an order, you can always edit the delivery costs if there are discrepancies or changes. This flexibility allows you to ensure that the final costs reflect any additional fees or discounts that were not anticipated. Here are the steps on how you can do it:

  • Go to Sent Orders and receive an order
  • Fill out other reception details and enter the delivery fee in line with the other cost details, then save the order.

Reports and Dashboards

Delivery costs are important in understanding the true cost of procurement and currently, they are only included in a key report:

  • Procurement Report: In the Procurement Report, delivery fees are shown in the summary page per outlet and the total value combined for all outlets.
  • Dashboard View: Delivery costs are not yet visible in any dashboards in the system.

Please note that the Delivery cost will not be divided and/or added to the ingredients cost for it to not be directly taken into account for the inventory value and the cost calculations.
