Welcome to the guide on the new Auto Linking Feature in Apicbase. This feature streamlines the process of linking POS products to recipes, making it easier to manage your Point of Sale (POS) systems at the library level. This guide will walk you through the steps to enable and use this feature effectively.

1. Enabling the Auto Linking Feature

To start using the Auto Linking Feature, you need to ensure it is enabled in your library settings. Follow these steps:

  1. Navigate to the Library Settings page.
  2. Under General Settings, look for the POS Integration setting.
  3. Enable the feature by checking the "Allow linking POS products at the library level" Box.

This setting tells the system that you want to manage links at the library level, replacing the previous, outlet-based auto-linking feature.

2. Creating Library Level Links

Once the Auto Linking Feature is enabled, linking a product to a recipe will create a library level link if the PLU (Price Look-Up code) is not already linked to anything else in the library. Here's how it works:

  1. Go to your Sales Module and select POS Connection.

  1. Link a POS Product to a Recipe (in case you are not sure how to do this, please read this article).
  2. If the PLU is new, a library level link is automatically created, indicated by a blue chain icon.

A library level link means that anything with this PLU is linked to this product across the entire library, regardless of the POS product type.

3. Working with Outlets

When you create a new outlet and add products, the links are already established if they exist at the library level. No additional setup is required for new outlets. Follow these steps:

  1. Create a new outlet (Please check this Article on how to create Outlets).
  2. Add Ingredients and Recipes to the outlet
  3. The existing library level links will be automatically applied.

4. Managing Outlet Level Links

If you need to create a link specific to an outlet, you can override the library level link by following these steps:

  1. Navigate to the specific outlet.
  2. Link the product to something else within the outlet.
  3. This creates an outlet level link, indicated by the usual green chain icon.

An outlet level link overrides the library level link for that specific outlet. If you unlink this product, it will revert to the library level link.

5. Unlinking Products

To remove a library level link:

  1. Go to the linked product in the POS Connector.
  2. Click on the unlink option.
  3. The library level link will be removed, affecting all outlets where this link was previously applied.
