Using Apicius, your AI assistant
Apicius is the AI chat in Apicbase on the web. Ask it about your own data, let it make changes for you, or ask how something works in Apicbase.
What you need
- The AI module. Ask your Customer Success Manager to switch it on.
- The Apicius permissions in your role, if you want Apicius to work with your data (see Permissions below).
Opening Apicius
Click the purple orb with the chef's hat, at the bottom right of the page. The Apicius panel opens. You find the orb on most pages on the web.

Two modes
At the top of the panel, choose a mode.
AI on Data answers questions about your own library, for example "When was the last count?". While it works, you see the steps it takes. Apicius can also create and change data when you ask, for example add an ingredient or update a supplier. It only does what your role allows, and it can make the change straight away. Be precise in what you ask, and check the result.
Support answers how-to questions from the Apicbase help centre, with a link to the article. In this mode Apicius does not look at or change your data. To see the sources under each answer, click Show sources (the document icon at the top of the panel).

Each mode keeps its own conversation. Click New chat (the plus icon) to start again.
History
Click History to reopen an earlier conversation. You only see your own conversations in the current library. When you open another page, the panel starts empty, but the conversation stays in History.
Permissions
What Apicius may do with data is set per role, in the Apicius (AI Chat) group of the role:
- View: Apicius can look up and show data.
- Edit: Apicius can create and update data.
- Delete: Apicius can delete data.
Apicius never does more than you can do yourself in Apicbase. Not every role has these ticked. If Apicius says it has no access to data you can see in Apicbase, ask an admin to check the Apicius (AI Chat) group of your role. Support mode works without these permissions. The Apicbase Assistant permissions belong to a different feature and do not affect Apicius.
