1. General Information
- Scope: The integration between Van Gelder and Apicbase enables you to manage the full purchasing workflow directly from Apicbase. Your product catalogue, prices, package structures and lead times are synced automatically, and you can send orders straight to Van Gelder via their API.

2. Product Assortment
- Assortment Type: Full assortment (approx. 4,000 articles).
- Syncing Frequency: The catalogue is synced automatically via the Van Gelder API.
- Assortment Management:
Assortment changes are managed by Van Gelder. Any updates on their side will reflect automatically in Apicbase. Note: The full assortment is always imported. Unused articles can be archived manually in Apicbase. - Prices: as agreed by contract with the supplier for the corresponding products.

3. Ordering Details
- Van Gelder allows ordering with the regular capabilities of a supplier integration.
- A unique enhancement in this integration is lead-time validation before sending the order:

Apicbase checks requested delivery dates against the lead times of all items.

If the date is too early for one or more products, Apicbase shows a popup.

The user can either:

Select a later delivery date for the entire order, or
-
Split the order into two orders with different delivery dates.

This prevents order rejections and ensures more accurate planning.
Delivery days and cut-off times are also synchronised automatically based on the assortment sync ID (Van Gelder client customer code).
4. Onboarding
To activate the Van Gelder integration:

You will need to inform your Van Gelder account manager (with your CSM in CC) that you desire the integration with Apicbase.

Van Gelder will reach out to your Apicbase CSM.

Once the CSM receives the customercode provided by Van Gelder (this is the Apicbase assortment sync ID) they will be able to begin setting up the Apicbase side of the configuration. Note: The timeline for the details being available is dependent on the Van Gelder schedule and availability.
- Once Van Gelder confirms that the integration is enabled, your Apicbase CSM will finalise the configuration.

Please be aware that the entire Van Gelder assortment will be loaded into Apicbase. You may archive items you do not desire.
