When working in Apicbase, you will often find yourself needing similar versions of existing data for example a recipe with small variations. Instead of starting from scratch, cloning is available for all of the items: Ingredients, Recipes and Menus.
What does it mean to clone in Apicbase?
It creates an exact copy of the selected item, including all the details that were already entered. Once cloned, you can edit the copy independently for example, changing its name, cost, packaging, or suppliers.
Cloned items are fully independent from the original. Once an item is cloned, it becomes a separate entity. Any edits, updates, or deletions made in the original will not be reflected in the clone, and vice versa. The two are completely detached from one another.
You have the option to clone items within the current library or into a different one.
How to clone within the same library
The process is identical for ingredients, recipes, and menus:
-
Go to Products > choose Ingredients, Recipes, or Menus.
-
Open the item you want to clone by clicking on its name in the list.
-
In the toolbar at the top, click on the file button.
-
Select Clone and then e.g. Ingredient.
5. A pop-up window will appear where you can fill in the name for the clone.
For recipes, existing translations will also appear, and you can adjust them.
For ingredients, the original name will be pre-filled and can be changed.
6. Click Save.
7. You will be redirected to the new, cloned item where you can make further adjustments.
How to clone to another library
If you are a user in multiple Apicbase libraries, you can also create clones across them:
- Follow steps 1–3 above.
- Instead of Clone, select Clone to Other Library.
3. A list of libraries you have access to will appear.
In this pop-up, you will also see an indication if the item has already been cloned into another library before. This helps you keep track of your items and avoid creating unnecessary duplicates.
4. Choose the target library and confirm with OK.
5. You will get a confirmation message, but you will not be redirected to the other library.
What is cloned, and what is not?
When cloning within the same library:
- All information of the original item is copied (names, translations, costs, packaging, etc.).
- For stockable recipes, the created packages are also copied.
When cloning to another library:
- All linked data is also cloned into the new library:
- For recipes: included subrecipes, ingredients, and packages.
- For ingredients: packages and supplier details.
- Outlets are not cloned. Since the clone is treated as a new item, you must link outlets again manually.
- Categories and subcategories of the cloned item are not cloned either and must be created manually in the new library.
