Allergens Suggestions from Integrated Suppliers

Learn how allergen suggestions from supplier integrations work in Apicbase, how to review incoming updates for ingredients, and how to import or decline suggested allergen data.

1. What are supplier-based Allergen suggestions

Apicbase integrates with supplier assortments that contain allergen information.
When a supplier updates the allergen data for an item in their assortment, Apicbase checks if that product matches an ingredient in your library (based on GTIN or article number). If a match is found, the updated data appears in your library as an allergen suggestion.

A suggestion does not overwrite your ingredient data automatically. Instead, you can review the suggested allergen information and choose whether to import it or decline it. This gives you full control over your allergen data while still benefiting from supplier updates.

2. How suggestions are synced

Suggestions arrive in two steps:

  1. Supplier assortment updates are synchronised into Apicbase’s backend.

  2. Apicbase matches supplier items to your ingredients using the article number or GTIN.

If a match is found, the suggestion becomes visible in your ingredient.

3. Notifications for new suggestions

Whenever new or updated suggestions become available, Apicbase creates a notification in the Apicbase Assistant.

The notification includes:

  • The ingredient name

  • A link to review the suggestion

  • A “Take Action” button that opens the ingredient’s edit page

Notifications remain open until you import or decline the suggestion.

4. Reviewing and importing suggestions

You can review a suggestion directly inside the ingredient, in Edit Mode.

Importing a suggestion:

  • Replaces the ingredient’s current allergen data with the suggested supplier data

  • Marks the suggestion status as Imported

  • Removes the notification

  • Does not validate allergens automatically

  • Can be done repeatedly (the suggestion remains available)

Only one source can be imported for the allergen field at a time. If you import a new suggestion later, it replaces the previously imported data.

5. Declining suggestions

If the suggested allergen data is not correct or not relevant:

  • Open the ingredient

  • Click Decline

This marks the suggestion as Declined and removes the notification.
A declined suggestion remains available, and you can still import it later if required.

6. Auto-Import (Optional)

Apicbase can automatically import suggestions when specific conditions are met.

Auto-import activates only when an ingredient’s allergen data:

  • is empty, and

  • is not validated, and

  • is not linked to any other external data source

Auto-import behavior:

  • Automatically imports the suggested allergen data

  • Marks the action as Imported by ApicBot

  • Does not validate the allergens

7. Changing your suggestion settings

The following cannot be configured by users from the interface:

  • Selecting which suppliers provide allergen suggestions

  • Enabling or disabling auto-import

  • Overwrite rules

  • Notification behaviour

  • Manual triggering of the synchronisation
